Observing release times/embargoes |
Reporters, producers and editors agree to the embargoes and release times stated on the news release, the news conference schedule and other materials. Failure to abide by the embargoes will result in suspension of credentials, which will affect attendance at the conferences and ability to receive advance materials. All the information pertaining to a conference session will be embargoed until the session begins. Other materials will have a specific embargo time as listed.

Observing meeting room and exhibit hall rules |
Policy of recording: Unauthorised recording of the conference is prohibited, whether by video, still or digital photography, audio or any other recording or reproduction mechanism. This includes recording of presentations and supporting audio/visual materials and of poster presentations and supporting poster materials. The 14th WCTOH reserve the right to all recordings or reproductions at the Conference.
Exceptions to this policy prohibition are:
- Non-flash photography of the speaker and his/her presentation materials is permitted by 14th WCTOH accredited reporters with the prior consent of 14th WCTOH and the speaker;
- Other photography and videotaping (non-presentation venues such as hallways and concourse) by 14th WCTOH accredited reporters is permitted if not disruptive; any still photographs or audio tape recordings used for commercial use require consent by 14th WCTOH and the speaker prior to publication;
- Audiotape recording for strictly personal and non-commercial use is permitted if not disruptive; and
- Accredited broadcast television media may videotape in the 14th WCTOH news conference, interview rooms, open newsroom media areas, hallways and concourse areas.
Accredited broadcast television media wishing to videotape in the Exhibit Hall, with limited access, must make the request through 14th WCTOH Communications staff and be escorted in the Exhibit Hall. The 14th WCTOH will provide one pre-determined location for broadcast television crews to lockdown a tripod and tape general B-roll of activity in the Exhibit Hall. No roaming photography is allowed. Videotaping specific B-roll of other exhibit booths is prohibited. Videotaped interviews are prohibited in the Exhibit Hall. The 14th WCTOH retains the right to cancel videotaping in the Exhibit Hall should it become disruptive or potentially impact the safety and security of participants. Accredited media using flash photography must also gave permission of the booth but do not need to be escorted by 14th WCTOH Communications staff. All flash and video cameras must display an 14th WCTOH camera tag, which is given outside onsite by the news media registration staff when media register for their badge and media materials.

Advance Accreditation & Registration |
Space will be limited in the newsroom. You should first get accredited and then register. To get the accreditation form, visit https://14wctoh.org/ and click on the Media button, then Media Accreditation.
Once your conference accreditation is granted, you will receive an e-mail confirmation with a link to register for the conferences via the web.

Loss of Badge Credentials |
The 14th WCTOH reserves the rights to revoke or deny attendance of any registered participant, speaker, exhibitor, news media reporter or photographer, at presentations or activities at 14th WCTOH scientific sessions and meetings.

The Newsroom may not be used to promote |
The Newsroom may not be used to promote products, organisations, services or individuals, or other events occurring during or in associations with the 14th WCTOH .

Newsroom Facilities |
Telephones, Internet access, fax machines, electrical outlets and printed materials will be available to all who have been accredited and registered before the deadline.

News Conferences |
The following persons may attend news conferences:
- Accredited news media and representatives of the organisation or company that is hosting the news conference.
- Only accredited media can ask questions.
- Space is limited so individuals will be accommodated on a first-come, first –served basis.
- Company representatives may not pass out literature, statements or news release in the adjacent hallways and areas around the news conference room.
- This material will be available to reporters in the Sponsors’ Newsroom.
- Prior to each news conference, a conference staff member will place materials pertaining to the news conference presentations on a table in the news conference room.
